This privacy statement applies to ZTAGROUP, a company incorporated and existing under the laws of Belgium and registered in the legal entities register (KBO) under number 0751.532.343, which control and make use of personal data in the framework of its business operations.
ZTAGROUP reserves the right to modify or amend this privacy statement at any time and for any reason. The revised privacy statement shall apply from the date of the publication of the revised privacy statement on ZTAGROUP’ internet site www.ztagroup.eu
Collection of personal data: Purpose
In its Business, ZTAGROUP collects and processes Personal Data for various purposes:
- Contacting and entering into Business relations with (potential) customers which may be companies or individual, as well as handling their requests in an efficient manner;
- Direct marketing to (potential) customers.
- Interacting with and complying with government or competent authority requirements ;
- Researching and developing business relations with service providers or other third party business partners;
Collection of personal data: legal basis
ZTAGROUP’ legal basis for collecting and processing Personal Data depends on the purpose of collection and hence are: (i) legitimate interest in order to ensure the Business interactions with customers, suppliers or other third party Business partners, as well as with investors and to manage ZTAGROUP’ assets (ii) execution of a contract with customers, suppliers, other third party Business partners and employees, (iii) fulfilling its legal obligations in various fields, legal requirements of social security and employment law.
Call recording
ZTAGROUP records both incoming and outgoing telephone calls for the following purposes:
- Review and improve our services;
- Train, develop and manage staff;
- Protect staff and customers from fraudulent or criminal activity;
Calls will be stored in both full audio formats along with a full text transcription of the conversation.
If you object to this, you will need to end the call when you are told that calls are being recorded.
Not all calls are recorded, and some calls may only be partially recorded under the following conditions:
- Call recording will be paused while payment details are discussed to ensure ZTAGROUP never retain financial data;
- There’s a technical fault with the telephony system or operator equipment;
- A call handler is using equipment which does not permit calls to be suspended or recorded;
How will call recording data be used?
Quality monitoring:
- Call recording provides a more detailed and accurate record of our business activities resulting in a better understanding of our clients' and staff experiences. This allows ZTAGROUP management to improve its services for customers, employees and third parties.
Training and development:
- Reviewing and analyzing a sample number of relevant calls allows managers to identify and enhance staff training requirements.
Complaints and disputes:
- Most calls are successfully resolved, however, in the rare event of a complaint or dispute, a call recording may provide additional information to help ZTAGROUP investigate and resolve the issue in a timely manner.
Employee safety and wellbeing:
- A call record may become a vital piece of evidence in the event of any threats being made to the organization or an individual, or in dealing with employment-related matters.
How your information is shared:
ZTAGROUP may share information in certain circumstances, whereby your call recording data may form part of your record or provide additional information to our trusted third parties, for example when we need to:
- Plan and manage our services.
- Check that the services being provided meet the customers’ needs and business policies
Call recordings may also be shared internally with relevant team members, managers, trusted third parties and senior management requiring access to the data in the performance of their roles.
How long do we keep your call recording data for?
Call recording data will be retained for up to 90 days from the date of creation; however, any post processing or analytical data may be stored for up to 10 Years.
Can I request a copy of my call record?
Call recordings may have been destroyed in accordance with the ZTAGROUP’ retention policy. If the recording is still available, you can request a copy of your conversation by contacting the ZTAGROUP via the info@ztagroup.eu
This information will be provided to you in accordance with the terms of the General Data Protection Regulation (GDPR) legislation.
Retention & deletion of personal data
The Personal Data is kept for a term as is needed based on the purpose for which such Personal Data is collected.
Disclosure of personal data to third parties
ZTAGROUP will never share the Personal Data with third parties for secondary or unrelated purposes unless otherwise disclosed at the point of collection.
ZTAGROUP may share Personal Data with third parties where required for achieving the above purposes.
This may include transfers outside the European Economic Area, including in countries that may not offer the same level of data protection as in the European Economic Area. ZTAGROUP has taken and will continue to take appropriate safeguards so that Personal Data remain subject to appropriate level of protection in accordance with applicable data protection law for the purposes identified above. Children's privacy protection
ZTAGROUP understands the importance of protecting children’s privacy in the interactive online world as well as in the real world. It is not ZTAGROUP’ policy to intentionally collect or maintain Personal Data about anyone under the age of 13. Nevertheless, for some of ZTAGROUP’ products (clothing, baby diapers and care products), it may be required that ZTAGROUP receives certain Personal Data of children (photo’s, name, date of birth of infants). To receive such Personal Data, and for any usage thereof, the explicit consent of the parent or guardian is requested.
Limitation of liability
ZTAGROUP takes all reasonable measures to ensure confidentiality of the Personal Data it collects. If you communicate with ZTAGROUP through the websites or via mail, you should be aware that transmission of Personal Data via the Internet or email is never without risk.
